I.1  EXTRA CURRICULAR TRIPS, FIELD TRIPS, EXTENDED FIELD TRIPS


Policy:

The Board recognizes the educational value of well planned extra curricular and field trips, generally defined to include any expedition organized by the teacher(s) and participated in by a group of students as a learning experience.  It stresses the importance of organization, follow-up and student safety as important aspects of this instructional activity.  Parental/guardian involvement is encouraged, wherever possible.

Passenger lists, including telephone numbers and medical alert information, must be prepared for all trips.

Schools must collect evidence of parent/guardian response to notification prior to student participation in any type of activity requiring travel off school grounds. Notification for Extracurricular and Field trips may be addressed with written consent by parents/guardians being given at the beginning of the school year. The supervising teachers are responsible to ensure that the above documentation is returned to the school office.

Definitions of Trips include:

(a)     Extracurricular trips
These generally involve a number of trips organized around a particular program such as sports, drama or music, over a period of time. It is recognized that many competitive events may require overnight stays within the province and therefore this type of trip will not be considered an extended field trip.

(b)     Field trips
A field trip usually consists of a single outing, with specific purposes and destination(s).  

(c)     Extended field trips
They include any and all field or extracurricular trips that involve an overnight stay, out-of-province travel or out-of-country travel.  

All Extended field trips shall be subject to the approval of the Senior Administration and the availability of buses and drivers, if applicable.  Extended field trips must be submitted to the Board of Trustees, for approval, on recommendation by the Superintendent.

Procedures:
 
EXTENDED FIELD TRIPS

Approval in principle for all extended field trips must be obtained from the Board at least one month (six months for out-of-country) prior to the event.  Final details will be forwarded to the Division Office for approval, after all arrangements have been finalized.  Where circumstances do not allow for one month’s notice, approval from the Superintendent’s office is required.

Submissions for approval are to include the following information:

1.      approval of the Principal;

2.      a description of the trip and/or destination(s);

3.      departure and return times and dates;

4.      objectives, relevance and educational value;

5.      follow-up activities;

6.      names of supervisors;

7.      number of students and grade levels;

8.      basis for selection of class or students;

9.      transportation details for the entire trip;

10.     overnight accommodation (billet, hotel, camp-out, etc);

11.     cost estimates and source of funds;

12.     provision for students with financial difficulty;

13.     safety and emergency preparation;

14.     additional medical/accident insurance provisions, as required;

15.     other pertinent information.
